Note: information contained in this article applies to Promodag Reports version 8. The Filter tab was formerly called Criteria.

Antivirus or Backup software open mailboxes and regularly reset the last logon date. Therefore, the "Which mailboxes are not used anymore?" report in the Favorites menu, can be inaccurate.

To generate a list of mailboxes that are no longer in use, you can alternatively report on mailboxes that have not sent any messages during the specified period thanks to the Mailbox by Traffic Level report. You will find that report in the Reports > Mailbox Traffic group of reports.

You would apply the following settings:

  1. Period tab:                        Select your reporting period;;                       
  2. Selection tab:                    Check the All organization mailboxes radio button;
  3. Group tab:                        Level 1: Organization;
  4. Partners tab:                    Check the All partners radio button;
  5. Filter tab:                          Messages count sent <= 0 (see screenshot below);
  6. Options tab:                     Check the following radio buttons: Sort by: Number, Sent, Descending; Count a multiple sending as: 1 message;
  7. Content tab:                     Check the following boxes: Messages: Sent; Received; Include: Mailboxes with no traffic;
  8. Presentation tab:              Size in KB: enter the settings of your choice;
  9. Output tab:                       Destination: Screen.

- The instructions here bear no resemblance to the Promodag Report V7 .n that we have. Where is this Reports > Mailbox Traffic > Mailbox by Traffic Level ? Where is the Criteria tab? - Answer: We added an explanatory note at the beginning of this topic. Approved: 28/02/2008
