Q10059 - HOWTO: Set permissions on specific reports ?

It is possible to set specific report permissions by using the standard Windows security tools.

In PROMODAG Reports, each report uses a specific .rpt template file that is saved in the \Rpt subdirectory of the product. Using the report templates, you can allow or deny access to specific reports.

The procedure is a three-step process: for example, let us imagine that you need to prevent a group of users from running the General Mailbox Traffic report because it displays message subjects.

Step 1 Finding the name of the template

  1. Choose the General Mailbox Traffic report from the Reports > Mailbox Traffic menu.
  2. Select one mailbox in the Selection tab.
  3. Click on <OK> to run the report.
  4. The name of the template PRRxxyy will appear at the bottom of the report (in this example it is PRR0029_02.rpt).

Step 2 Locating the template file

  1. Open Windows Explorer and go to the C:\Program Files\Promodag\Reports8\Rpt folder.
  2. Locate the Prrxxyy.rpt file, PRR0029_02.rpt in our example.
  3. Right click on it and select Properties.
  4. Under the Security tab, set permissions accordingly: deny access to that specific users' group.

Step 3 Checking for results

  1. Log on to the PROMODAG workstation with the account for which the report has been denied.
  2. Open PROMODAG Reports and try to run the General Mailbox Traffic report.
  3. An error message will appear and prevent the report from being displayed.

NOTE:  You may have to set permissions again when reinstalling Promodag Reports.
