Monitor mailbox size variations

When you look at a report on the size of your Exchange databases - for example, Database Size Information in Promodag Reports - you can see that several of them have become particularly large. You wonder what could have happened. How to do this?

One of the advantages of Promodag Reports is that it has the ability to import the size of mailboxes and thus to create a history that is unavailable in Exchange.

Extract the 10 largest mailboxes in each database

The first step is to list the largest mailboxes, their size and quota. You can accomplish this task with the cmdlet Get-MailboxStatistics or, more simply, with the Mailbox Storage Information report in the Storage category. We are interested in the 10 largest mailboxes in the relevant databases here. The report interface allows you to select these specific databases, and then to display the top 10 in each of them. That’s a hell of a time-saver!

The next step is to see which ones have grown the most over the last few months.

Measure the growth of the largest mailboxes

Select the largest mailboxes you have detected earlier and run the Mailbox Size Growth report. You can see a considerable increase in their size over the past four months:

You're on the right track. You still have to determine who the culprits are.

Display the fluctuation in the size of individual mailboxes

Simply keep the same selection of mailboxes and run the Mailbox Size Fluctuation report. You will see details of the increase in size of each of the selected mailboxes, both in size, number of elements and percentage growth. In this example the size of Jack's mailbox increased by 87% in less than 4 months. Mission accomplished.
