Why switch to SMTP

When Promodag Reports sends reports and notifications through the Office 365 Connection option, every e-mail goes through EWS. Adding Promodag Reports to your tenant's EWS allow list keeps this working until April 1, 2027 at the latest (see EWS Retirement and Promodag Reports - Impact Assessment).

Sending through an SMTP server does not use EWS, and is not affected by its retirement.

Choose an SMTP server

Promodag Reports connects to the SMTP server either without authentication or with a user name and password. It does not support modern authentication (OAuth) for SMTP.

Use one of the following:

• Your own SMTP relay, for example an Exchange Server on-premises receive connector that accepts mail from the Promodag Reports computer.
• The Microsoft 365 SMTP relay: an inbound connector in Exchange Online that accepts mail from your public IP address, with your domain's MX endpoint (for example `contoso-com.mail.protection.outlook.com`) as the server, port 25. • A third-party SMTP service.

Not recommended as a lasting solution: smtp.office365.com, port 587, with a Microsoft 365 user name and password. This relies on basic authentication for SMTP (SMTP AUTH), which Microsoft is retiring from Exchange Online, and requires SMTP AUTH to be enabled on the sending mailbox.

Configure Promodag Reports

1. Open Options > Email and Notifications.

2. Under Settings for sending reports and notifications, select SMTP (recommended option).

3. Enter the server Name and Port number, and check Use SSL/TLS if your server requires it.

4. If your server requires authentication, check Server requires authentication and enter the User name and Password. Leave it unchecked for a relay that accepts the Promodag Reports computer without authentication.

5. Enter the Sender Email and Sender Display Name.

6. Click Check connection, then OK.

Notifications for automated tasks (Configure notifications for automated tasks) use the same settings: check that they still reach their recipients after the change.
