Why can't I filter received messages by number of recipients in the Find Specific Messages report?

Question:

I am trying to produce a report showing received messages with 10 recipients and more using the Find Specific Messages report and all I get is the infamous 'No data could be found based on the selected criteria'. How come, and what can I do to get this report?

Answer:

  • When a message is sent to x recipients, the Exchange server logs one single SENT event that mentions all of them in the corresponding message tracking file.
  • However, this message will be received x times (once per recipient). As a result, there will be one RECEIVED event per distinct message in the corresponding message tracking file, and each of those events will only mention one single recipient.

This is the reason why it is possible to count and to filter sent messages by number of recipients, but not received messages.
